GS805 remote monitoring: factory telemetry, VendCaptain Connect and Run

A GS805 reports to the maker's cloud, and the maker's web portal is what most owners call "remote monitoring". This page says exactly what that portal holds, what it does not, what VendCaptain Connect adds every hour without touching the machine, what Run adds once VendCaptain is the software on the screen, and which data simply does not exist on this machine, so nobody can show it to you.

What the factory cloud shows you

The maker's own site promises "remote menu updates, sales by location, stock alerts". Here is what the portal actually holds, as we read it from our own account and from operators' accounts we connected.

Sales
A list of orders with the machine, the drink, the list price and the amount paid, the payment method, a status (making, complete, pay timeout, cancelled), whether the machine reported the drink made, and a refund flag for refunds made in that portal. Daily statistics by machine and product. No card, no settlement, no refund made at Nayax. What the card processor holds instead, and why only the two together show a charge with no drink, is on GS805 and Nayax.
Machines
A list with an in-service flag. The online, running and heartbeat fields come back empty for every machine on every account we have seen, so the portal cannot tell you whether a machine is reachable right now.
Stock
A per-slot table with a capacity and a "remaining" figure. The machine has no level sensors, so "remaining" is a countdown the cloud keeps by subtracting a configured amount per pour. It is right only as long as every refill was typed in and every pour matched the figure. When it drops below a recipe, the machine shows the drink as sold out, true or not.
Menu and prices
Products per account and a shelf per machine with a listed flag and a per-machine price. A listed drink's price is read-only, so a price change is take off sale, then list again. Recipes are written in machine time, tenths of a second per container, not grams. No history: everything is edited in place, and yesterday's price is gone.
Promotions and codes
Limited-time discounts as a fixed promotional price per drink over one continuous window, and batches of six-digit free-drink codes. See GS805 loyalty and promotions.
Screen content
Playlists of images or videos with a per-machine time window. Schedules expire silently; nothing says a machine's screen runs out of content on a date.
Alerts
None that we have ever received. Machine errors are listed as a screen, not sent.

So what is "GS805 telemetry"?

Sales, a stock countdown, and a menu you can edit remotely. No live connection status, no faults, no temperatures, no door, no refunds at the card processor, no history, no alerts, and no API. For most owners that is enough to know what sold last week and not enough to know what is wrong today.

What VendCaptain Connect adds, without touching the machine

Connect reads the factory cloud with the account you already have: sales every hour, the shelf and stock figures at least daily, your full sales history once, and then builds what the factory portal does not.

Today
Sales so far against yesterday, every sale today, the "charged with no cup" line, machine status, cups since the last service and the waste bucket count, the next services due, card customers today, codes redeemed.
Sales analysis, compare, forecast
Busy hours, product mix, discounts and margin by product, every list-price change over all history with cups before and after per machine, machines against machines, gyms against gyms and chains against chains on seven metrics, and a 30-day projection with its confidence band.
Machine health and status
A machine that charges without pouring (three failures in 30 minutes or two in a row) gets an email and a crew task, and one click takes its drinks off sale and puts them back at the same prices later. Each machine is selling, ramping up, quiet, dormant, never sold or retired, with an email when one stops selling. Connection reads "unknown", because the factory cloud does not know.
Transactions and refunds
A row-level list with CSV and Excel export, failed vends with the factory remark, and for each one its refund state matched against your Nayax export or feed and rechecked hourly for 30 days. Also the reverse: charges at Nayax with no order on the machine.
Stock and maintenance
Stock as estimates, stated as such, projected from the service log plus sales, with a run-out forecast per machine and the waste bucket counted from the last emptying. Service visits with an eight-step checklist, photos, lots and expiry dates, PDF reports and follow-ups, on the crew's phone; the iPhone app keeps a visit going with no signal and sends it when the connection is back. On our own machine the estimate has matched what we find in the containers on the visit; the service log is what keeps it honest.
Card customers
From your Nayax export: repeat rate, loyal customers, retention, and when each regular usually comes. Card brand and last four digits only.
Reports and alerts by email
Scheduled reports: row-level sales, per machine or location per day, revenue concentration, failed vends with their refund state, the service route, codes expiring, a stock snapshot. Alerts: charging without pouring, stopped selling, the factory connection about to expire, the standby video ending within seven days, the Nayax feed gone stale.

Every page above also exists on Run. The difference is where the numbers come from.

What Run adds, because the software is on the machine

Last contact
A dot per machine: talking to the cloud, stopped (still selling, prices frozen), never connected, in maintenance. An email when a machine has not talked for more than two hours.
Exact stock, by counting
The GS805 still has no sensors, so Run does the next best thing: it keeps a ledger in calibrated grams per container, subtracts every pour, counts one cup per drink and the water per recipe, and takes a refill or a level check at the machine behind the service PIN. A drink is shown sold out before payment when a pour would leave fewer than two servings. The waste bucket is counted on the kiosk: a warning at 30 drinks, no sales at 38 until it is emptied.
Faults by name
No cups, no water, a leftover cup, a temperature out of range clear themselves; an emergency stop, a part that ran too long, a cup lost mid-pour or a failed self-check stay blocked until a person re-arms the machine. Each one is on the operator screen and in the portal.
A maintenance switch
From the portal or at the machine, acting within about 20 seconds; a drink being made always finishes first.
Paid and got no drink
An email within the hour with the amount to refund, and a task.
Logs and crashes
Request a machine's recent log from the portal and it uploads it, passwords and codes removed. Every crash becomes a report on the next sync.
Tests
Two prices or two menu orders on the same machine, assigned per customer, with a verdict only once each version has a hundred sales and the gap is too big to be chance.
Screen content
Videos and playlists per machine with weekday and time windows, played from the kiosk's own cache so the screen keeps going offline, with a "now playing" light per machine.

What a machine on Run looks like after a month is in the operator case study.

Side by side

Sales who sold what, when, and whether it was made
  1. Factory cloudYes, as a list and daily totals.
  2. ConnectHourly, with full history, analysis, compare, forecast, export and reports.
  3. RunSame, from the kiosk's own records, uploaded as it sells.
Failed payments charged with no drink, and whether it was refunded
  1. Factory cloudA timeout on the order. Refunds made at Nayax never show.
  2. ConnectEach one with a refund state from your Nayax data; an alert and a quarantine for a machine that repeats.
  3. RunMarked at the moment it fails; an email within the hour with the amount.
Stock powder, water, cups, the waste bucket
  1. Factory cloudA countdown per slot, with no sensor behind it and no bucket at all.
  2. ConnectEstimates from your refill log plus sales, a run-out forecast, the bucket counted from the last emptying.
  3. RunA ledger in grams per pour, cups counted, the bucket counted and enforced on the kiosk.
Is it online, is it broken connection, faults, the screen
  1. Factory cloudOnline fields empty; errors listed on a screen, never sent.
  2. ConnectConnection "unknown", said plainly; an email when sales stop arriving for three hours.
  3. RunLast contact per machine, an email after two hours silent, faults by name, a maintenance switch, logs on request.

What does not exist on a GS805, so no software can show it

  • Measured levels. No load cells on the containers, no float in the tank, no sensor in the bucket. Every stock figure anywhere is a count or an estimate. How we keep stock honest without sensors is in the owner's guide.
  • Temperatures. The factory record holds the hot and cold water thresholds, not readings.
  • Door events. The machine does not report its door to the software on the screen.
  • Firmware and app versions, from the factory cloud. Run reports its own app version.
  • Live anything, on Connect. Connect is hourly and reads a cloud that does not know whether the machine is reachable.
  • An API. The maker publishes none that we know of; VendCaptain offers exports and scheduled reports, not an API. See GS805 integrations.

Questions owners ask about monitoring a GS805

Can I see whether my GS805 is online?

Not from the factory cloud: its online and heartbeat fields are empty for every machine we have seen. Connect says "unknown" rather than guessing, and emails you when sales stop arriving. Run shows last contact per machine and emails after two hours of silence.

Does the GS805 have real-time inventory?

No GS805 has measured inventory, because it has no sensors. The factory cloud counts down from what somebody typed in. Connect estimates from your refill log and sales. Run counts every pour in calibrated grams and every cup, which is exact as long as the calibration is, and shows sold-out before the customer pays.

Is there a GS805 dashboard I can give my partner gyms?

Yes. A partner login shows a read-only sales page and the card loyalty page for its own machines only, with its commission. Crew logins see the service checklist and the manual. Both exist on Connect and Run.

Can I get the data out?

Any table as CSV or Excel, and reports by email on a schedule. When you leave, everything on request.

How is "remote monitoring" different between Connect and Run?

Connect sees what the factory cloud holds, an hour late, plus everything VendCaptain computes from it and from your Nayax data. Run sees the machine itself: last contact, faults, exact stock, and it can act, with a maintenance switch and a log request. Most operators start on Connect for every machine and move the first one to Run with us.
